MCRU Study Team Guidelines

To ensure the safety of patients, staff, and study teams, please review and follow the guidelines below when interacting with the lab for your study needs. For a list of Frequently Asked Questions regarding Study Team guidelines, click here. For questions, contact MCRU-Corelab@med.umich.edu.

Study Team Guidelines for the MCRU Lab

  • Study Teams should NEVER open the lab door window themselves
  • Study teams will NOT be allowed in the MCRU lab unless special permission has been granted by our Lab Supervisor. Steps to gaining access are listed below.
  • To facilitate the safety of both study teams and lab staff, the lab team will close the lab window if they are having to step away from the door.

Kit Drop Off (Kits for the future and not yet collected)

  • iPads will be available in a holder to the left of the lab door
    • Passwords are on the back of the cover
  • Study team will log into the iPad and click the Google Chrome app then the “KIT Drop Off” bookmark
    • Each kit must be entered separately.
  • Study team will then log their kit into the iPad filling in all necessary information:
    1. HUM Number
    2. PI Name
    3. Subject ID
      • If you do not have a subject ID yet, please notify the lab staff directly using the WHITE doorbell
    4. Date & Time the Kit is for
    5. Study Team Contact Information
    6. Notes (Free text box for any useful information for the lab)
  • Please use an Oxivir wipe, to the left of the door, to wipe off the screen and case before returning iPad to the holder.
  • Once entered and iPad cleaned, study team will drop their kit into the kit drop off box under the lab door (No need to ring the doorbell)
    • DAY OF VISITS: Please ring the RED doorbell and wait for the lab technician to take the kit from you and set it up in time for your visit.
  • Shipping Boxes
    • After dropping off your kit to the lab, or before, please drop off your LABELED shipping boxes around the corner in our alcove on the designated cart/rack (No need to ring the doorbell)
      • Labeled clearly and visibly with:
        1. Date the box is for
        2. HUM Number
        3. PI Name
        4. Subject ID(s)
        5. Shipping labels should be INSIDE the box
        6. DO NOT put any PHI on these boxes. Please only use study-specific identifiers.
      • If the shipping box is for the same-day do NOT leave it in the alcove. Instead, bring it directly to the lab (Ring RED doorbell)

Sample Drop Off (Meaning samples that have been collected)

  • iPads will be available in a holder to the left of the lab door
    • Passwords are on the back of the cover
  • Study team will log into the iPad and click the Google Chrome app then the “SPECIMEN Drop Off” bookmark
    • In case it is not open it will be set as a bookmark on the Google Chrome app
  • Study team will then log their Samples into the iPad filling in all necessary information:
    1. Date & Time of Collection
    2. HUM Number
    3. PI Name
    4. Visit Info
    5. Subject ID
    6. Patient Name & DOB
    7. Study Team Member Name
    8. Notes for Lab (Free text box for any useful information for the lab)
  • Please use an Oxivir wipe, to the left of the door, to wipe off the screen and case before returning iPad to the holder.
  • Next, follow one of the processes below depending on your situation:
    • Normal Visits: Study team will ring the WHITE doorbell and place the bag with the samples on the OUTSIDE window counter (No need to wait to speak to a lab tech)
      • This means anything that did not have any issues, concerns, or etc.
    • COVID Positive Samples: Study Team will ring the RED doorbell. Samples should be brought down DOUBLE bagged and clearly marked as COVID+ and placed on the OUTSIDE counter. This will indicate a lab tech to immediately come to the window.
    • If the study team has labs going to CD/Specimen Processing they should be clearly marked and ready to be tubed (Ring RED doorbell) (No need to wait to speak to a lab tech)
    • If there were issues with the draw or something you need to pass along to the lab team (Ring the RED doorbell)
      • This will indicate a lab tech to immediately come to the window

Requisition Pick Up/Questions

  • If you are planning on picking up requisitions, we ask that you please email us at MCRU-Corelab@med.umich.edu the day prior so that we can go ahead and pull them for you and have them ready.
  • Please ring the WHITE doorbell
  • A lab tech will come to the window to assist you within 5 minutes
    • If you have waited more than 5 minutes, please ring the WHITE doorbell again
  • Give the lab tech the HUM number(s) of the requisitions you are picking up or that you are asking questions about.

Sample Pick Up/Batch Shipments

  • Pickups and Batch shipments must be scheduled at least 1 week in advance.
  • To schedule please email the MCRU-Corelab (MCRU-Corelab@med.umich.edu)
  • If the Lab Supervisor deems it necessary for you to have access to grab samples or assist with shipment you will be sent a “Temporary Lab Access Form” that you will need to fill out
  • If it is deemed you do not meet requirements for entry into the lab our Lab Supervisor will instead provide you with a “Sample Pickup / Batch Shipment Form” that should be filled out prior to arriving
    • Please ring the WHITE doorbell
    • If you have been given permission to enter the lab, please provide the lab tech with a copy of your “Temporary Lab Access Form”
      • You will be asked to adhere to ALL lab safety protocols
        1. Lab Coat (provided)
        2. Safety Goggles (provided)
          • Prescription glasses are sufficient
        3. Closed Toe Shoes
        4. Long pants
        5. Gloves (if/when handling samples)
    • If you have not been granted access please provide the lab tech with your filled out “Sample Pickup/Batch Shipment Form”
      • If you are picking up samples give the lab tech a few minutes to grab all of your samples and then they will be handed off to you
        • Remember to bring your own box
      • If you are dropping off supplies for a batch shipment, please set the supplies by the door and we will grab them once you leave.
